Before starting an internship with Fermi National Accelerator Laboratory, please take the time to read through the below information. This is a handbook of expectations for every Fermilab Intern.
Dress Code
At Fermilab, the dress code for interns is classified as casual to business casual. Acceptable attire includes jeans and T-shirts; however, please refrain from wearing pajamas, short shorts, or shirts that reveal your midriff.
It is important to remember that your internship serves as an extended job interview. We encourage you to dress in a manner that reflects professionalism and respect for the workplace.
Taking Photos & Social Media Policy
Not all areas of Fermilab will allow photography. Please ask before taking a picture near machinery or an experiment. Also make sure to turn your badge around, or take it off before any selfies.
Policy on Using Fermilab Resources
Unauthorized or improper use of Fermilab resources may result in losing or having limitations placed on use of Fermilab resources, disciplinary or adverse actions (up to and including separation from Fermilab).
Professional Environment
- Wear ID Badge at all times

Behavioral Expectations
- Report for work for the hours agreed upon with your supervisor.
- Accurately track hours worked using the Kronos time reporting system; report time worked each Friday by 12:00 p.m.
- Inform your supervisor promptly if an absence from work is unavoidable; maintain consistent communication regarding your status and expected return
- Contact your supervisor or the EDIA Office to report any situation that prevents you from completing your work
- Perform duties as assigned by your supervisor
- Conduct yourself in a responsible and professional manner
- Respond promptly when contacted by your supervisor, program leader or the EDIA Office
- Meet weekly with program mentors
- Attend the Undergraduate Summer Lecture Series
- Attend laboratory tours organized for interns
- Complete written and oral program deliverables
Respecting Peers
- Share knowledge

- Learn how to pronounce people’s names
- Respect a difference of opinion
- Ask for pronouns
Respecting Supervisors
- Contact your supervisor if you will be late, absent, or if there is a situation that prevents you from completing your work
- Perform duties as assigned
- Respond promptly
Policy on Timecards
- All timecards must be submitted by Friday at noon.
- Know the difference between an avoidable and an unavoidable absence.
- Telecommuting options must be discussed with a supervisor and reported to the EDIA team.
- Avoid Timecard Fraud
Safety
Your mental and physical safety is of the utmost importance at Fermilab. Please make sure you are following the guidelines put in place regarding physical safety for each location on campus. Also be sure to familiarize yourself with the EDIA team should you have any questions or concerns regarding mental safety while at Fermilab.
Housing & Rental Car Agreements
Depending on the internship you are a part of and your personal location (must be further than 50 miles from the lab to qualify), you may be entitled to take advantage of Fermilab housing and transportation services. Please follow the link to the forms to read through the expectations and agreements in regard to those options.
ITNA Probation
While you are at Fermilab, you will be required to complete multiple trainings that are necessary for every Fermilab position to complete. You will also need to complete specified training assigned to you by your supervisor. These trainings need to be completed your first week at Fermilab, so you are able to conduct the research you need to conduct while being onsite. If you do not complete your training during your first week, you will be places on probation and not allowed to work until the training is completed.
Creating a F.A.N. Profile
All interns at Fermilab are given the opportunity to create a Fermilab Alumni Network profile. This profile will allow Fermilab recruiters to reach out to you and ask you to apply for positions in line with your area of expertise. All information is kept secure and behind password protection. You are only able to create a profile while you are working at Fermilab. Once you leave, you will no longer have the option to complete a FAN profile.
